Our client is looking to hire an Administrative Assitant in Downey, CA.
Summary:
The Administrative Assistant plays a vital role in ensuring the efficient operation of an organization by providing administrative and clerical support to various departments and personnel.
This position involves a wide range of responsibilities, including office management, document management, scheduling, and communication coordination.
Key
Responsibilities:
Maintain a clean and organized office environment.
Manage office supplies and place orders when necessary.
Coordinate with facilities for maintenance and repairs.
Create, format, and proofread documents, reports, and presentations.
Organize and maintain physical and digital filing systems.
Assist in document retrieval and archiving.
Manage calendars for executives or team members.
Schedule appointments, meetings, and conferences.
Coordinate travel arrangements, including flights, hotels, and transportation.
Screen and direct phone calls and emails to the appropriate parties.
Draft and edit correspondence, memos, and reports.
Liaise with internal and external stakeholders on behalf of the organization.
Accurately input data into databases and spreadsheets.
Maintain and update records and databases as required.
Prepare meeting agendas and materials.
Attend and document meeting minutes.
Ensure meeting rooms are set up with necessary equipment and supplies.
Greet and assist visitors, clients, and employees.
Manage visitor sign-in and security protocols.
Assist with special projects and assignments.
Provide support to various departments as needed.
Handle incoming and outgoing mail and packages.
Qualifications:
High school diploma or equivalent; additional education or certification is a plus.
Proven experience as an administrative assistant or in a similar role.
Proficient in office software (e.
g.
, Microsoft Office Suite) and office equipment.
Excellent written and verbal communication skills.
Strong organizational and multitasking abilities.
Attention to detail and problem-solving skills.
Ability to work independently and collaboratively.
